When the handoffs are the problem

A workflow is a good candidate when people repeatedly copy the same information, check another system for a status or remind someone to take the next step. We separate predictable rules from decisions that need a person.

Example: from form to follow-up

A form submission is checked for required fields, matched against an existing contact and added to the agreed workspace. The owner receives a notification with the relevant context. A follow-up task is created only when the routing conditions are met.

If the contact cannot be matched or a connected tool fails, the item is held for review instead of silently disappearing.

Test the exceptions, not only the happy path

We test missing fields, duplicate submissions, unavailable tools and repeated runs against agreed examples. Approval stays with your team for actions such as sending external messages or overwriting important records until those actions are explicitly approved.

What to bring

Bring an example input, the desired final result, a list of tools involved and the common reasons the process gets stuck. Knowing who owns each step helps us design a useful first version.
